Work across clients as an accountant

Invite your accountant with the accountant role: one console lists every workspace they are in and what needs attention across them, oldest first, with a month's hand-off to download and each workspace's usage and limits.

An outside accountant who looks after several small businesses should not have to open each workspace to find out where something needs attention. Each business invites its accountant as a member with the accountant role. The accountant's Accountant console then lists every workspace they are a member of, how long its items have been open, and one queue across them: payments waiting for a decision, payments to book in Xero, receivables to follow up, what customers said on their statement links, connectors to fix and limits reached. Each item opens the right page in its own workspace. It works the same in a workspace on Arc testnet and on Arc mainnet.

1.Invite your accountant

An owner or admin opens Members and, under the invitation form, chooses the role accountant. The form says what each role may do before you send it. For the accountant:

Reads everything, books payments in Xero, applies money received and answers customers. Decides no payment, and changes no treasury, limit, integration or member.

The accountant accepts the invitation with the address it was sent to, as any member does, and lands on the Accountant console, at their first step.

What each role may do:

RoleWhat it may do
OwnerEverything an admin does, and connects Circle, sets the two-approval figure and can delete the workspace.
AdminEverything an approver and an accountant do, and adds bills and receivables, runs and resumes the agent, and manages members, API keys, webhooks, integrations and treasury.
ApproverDecides the payments the agent held, and pauses the agent. Adds no records.
AccountantReads everything, books payments in Xero, applies money received and answers customers. Decides no payment, and changes no treasury, limit, integration or member.
ViewerReads the workspace.
  • Owners and admins invite an accountant, as they invite an approver or a viewer. An accountant invites nobody and changes no role.
  • To give your accountant more, change their role on Members: as an approver they decide payments, as an admin they also manage the workspace. One person holds one role in a workspace.
  • Deciding payments stays with your people. An accountant's card in Approvals shows who can decide each bill; the accountant can read it all and act on none of it.

Your first steps

The Accountant console shows a new accountant Get started as an accountant, four steps ticked because each happened, in any of the workspaces they keep the books of:

  1. Open the accountant console: done when the console opens.
  2. Open one workspace's queue: Only this one, on a workspace's card.
  3. Book one payment or apply one receipt: it opens the bookings to review where a payment waits for you, and otherwise the Receivables tab, to apply money a customer sent.
  4. Download the month's hand-off: last month's CSV; the download is recorded in the workspace's ledger, which is what ticks it.

Don't show again hides it for good. No step needs more than the accountant role may do.

2.What an accountant does in a workspace

  • Book payments made on Arc in Xero, after reviewing each, from Bills & receivables. On a Xero connection made before Oct 13, 2026, only an owner or admin books until one of them reconnects Xero, and the console says so on each payment to book. See Bring bills in from Xero.
  • Apply money received to receivables, record a fee, and reverse a mistake. See Apply money received to invoices. Anyone else reads "Only an owner, admin or accountant of this workspace can apply payments."
  • Answer what customers said on their statement links, under From customers on the Receivables tab: reply, mark a payment found, or close it as not received. See Share a statement with a customer. Making and stopping a statement link stays with owners and admins.
  • Get an email when a customer writes, with the switch in Settings, under Notifications: "Email me when a customer writes on its statement link".
  • Read everything else, the ledger, the report, Treasury and the audit export included.

3.Open the console

Open Accountant console from the workspaces page, which lists it when you are in more than one workspace or an accountant in one, or go to /accountant. It lists only the workspaces you are a member of, each read with your role there. It shows nothing from a workspace you were not invited to, and no figure that adds money across workspaces or currencies: it counts items, and each amount stays on its own item, in its own currency.

  • Open items by age counts what is open across your workspaces in five buckets: Under a day, 1 to 3 days, 4 to 7 days, 8 to 30 days and Over 30 days. An item's age runs from when it needed someone: the agent's decision for a held payment, its decide-by day once that has passed, a receivable's due date, a customer's message, a payment's booking draft.
  • Workspaces has a card for each: its standing, network and your role, how many items are open and of which kind, Open workspace, and Only this one to narrow the queue to it. A part that could not be read just now is named on the card, and the rest still shows.
  • What needs attention is the queue. What you can act on comes first, then by kind, then the oldest first. Yours to act on keeps only those; each kind has its own filter.

4.What the queue holds

Each item names its workspace, who or what it is about, its amount in its own currency where it has one, how long it has been open, and who acts on it: "You can ..." when your role may, or which roles may when it does not. Open goes to the page where it is acted on.

KindWhat it isOpens
Past its decide-by dayA payment held for a person whose day to decide passed: its due date, or the last day of its early-payment discount.Approvals, at the bill
Payment waiting for a decisionA payable held, flagged or waiting for details, or a milestone held for a person.Approvals, or Contractors for a milestone
Customer says paidA customer said on its statement link that it paid. Nothing is marked paid until the money is found. From customers
Disputed by the customerA customer disputes an invoice. Its reminders wait while the dispute is open. From customers
Payment to bookA payment made on Arc waiting for review before it is booked in Xero, or one whose booking failed. The bookings to review
Receivable overdueA receivable past its due date and not yet received. The receivable
Connector problemXero, QuickBooks, Zoho Books, HubSpot, Pipedrive or Zoho CRM needs reconnecting, or its last sync failed.Settings, at the connector
Limit reachedA limit stopped something: the day's cycles in a sandbox, the agent's spending limit, the payee history checks' daily most or Gateway balance, or the day's invitations.Settings, at Usage this month

With nothing open, the queue says "Nothing needs attention in any of your workspaces."

5.Hand a month over

Each workspace card has Hand-off: downloads: last month as CSV or JSON, and This month so far as CSV. A hand-off holds, for that calendar month (UTC):

  • Decisions: the agent's decisions on payables and a person's approvals, rejections and returns, each with its ledger number and hash, from the same signed ledger the audit export holds. The hand-off names the ledger's last entry, so the audit export of the same workspace verifies it.
  • Payments sent or confirmed in the month: what they paid, the amount and token, the payee's address, whether they moved on chain, and the transaction.
  • Bookings of payments made in the month, in Xero: their state, reference, account and amount in their own currency.
  • Open items: the console's own items for the workspace when you download it, each with its link.

The CSV is one table with a section column, in UTF-8 for a spreadsheet; the JSON is one document, vestiarion-handoff/1. Amounts keep their own currency in every row, and nothing totals across currencies. Every member may download a workspace's hand-off, as every member reads the workspace. Each download is recorded in the workspace's ledger as handoff_exported, with who downloaded it, the month and how many rows of each section it held. Past ten in ten minutes, the download answers "Too many hand-offs in the last 10 minutes. Try again later."

6.Usage and limits

Every member sees Usage this month in Settings: what the workspace used since the 1st (UTC), as Model calls, Circle transfers, x402 purchases, Emails and Connector syncs, each split by what it was for. A model call shows the tokens the provider reported and its cost in US dollars where the model's price is known; an x402 purchase shows its price in USDC; a Circle transfer shows its network fee where the chain reported it. Costs are never added across currencies, and "This is a record, not a bill."

Under Limits, each limit that applies says where the workspace stands (Within limit, Near the limit or Stopped), what stops when it is reached, and Who acts:

  • Agent cycles today, in a sandbox: at most 20 cycles a day (UTC). Past it, cycles wait for midnight UTC.
  • Agent spending limit: past it, the agent pays nothing on its own, and each payment waits in Approvals. An owner or admin raises the limit on the console.
  • Payee history checks (x402): the agent's daily most, and the Gateway balance it buys from. Past either, it decides without buying.
  • Invitations: at most 50 a day. Past it, no new invitation is sent until the oldest of the day is 24 hours old.
  • A connector that needs reconnecting is listed too, with who reconnects it.

A limit that stopped something also shows at the top of the section, and in the accountant console's queue as Limit reached, so it never goes unseen.

7.When an accountant leaves

Remove the accountant on Members, or they leave on their own. The next time they open the console, the workspace is no longer listed, its hand-off download answers as for any workspace they never belonged to, and its pages say it was not found. Nothing was copied to them ahead: the console and the hand-off are read for each request, from the workspace, with the role they hold then. The API keys they created in the workspace, if an owner had made them an admin, are revoked with the membership, as for any member.
