Share a statement with a customer
Send a customer a link to its own statement: it sees what it owes, pays on Arc, says it paid, promises a day or disputes an invoice, with no account or wallet, and you answer each from the Receivables tab.
Customers ask for an invoice again, email a screenshot to prove they paid, or argue about an amount in a thread nobody else can find. A statement link gives one customer a page of its own: what it owes you, each open invoice with what is still owed and how late it is, and a way to pay it on Arc, say it paid, promise a day or dispute it. It needs no account and no wallet. Everything the customer says comes back to one list on Bills & receivables, with the next step for each. It works the same in a workspace on Arc testnet and on Arc mainnet.
1.Make a link
Open Bills & receivables, choose the Receivables tab and scroll to Customer statements.
- Choose the customer and how long the link works under Link works for: 7, 30 or 90 days. Then choose Make a link.
- Copy the link at once. The page shows it with "Copy it now: it is shown only once." Vestiarion keeps only a fingerprint of it, so it cannot show it again. A link that is lost is replaced by making a new one.
- One link per customer. Making a new link for a customer stops the one it had; the page says so. The list under the form shows each customer with a link, until when it works, and who made it.
- Who makes links. Owners and admins, as for a pay link. Every other member sees the list and reads "An owner or admin can share a statement with a customer."
- Customers only. A link is for a counterparty with the role client. For anyone else: "Statement links are for customers. This counterparty is not a client." With no client yet, the section says "Add a counterparty with the role client to share a statement with it."
Send the link to the customer the way you usually reach them. It starts with https://www.vestiarion.xyz/statement/.
2.What your customer sees
The link opens a page titled with what the customer owes you, and until when the link works.
- What it owes, in each currency apart: USDC and EURC are never added together. Each says how many invoices are open and how much of it is overdue.
- Open invoices, by due date. Each shows what is still owed, in its currency; for a part-paid invoice, what was received; its due date, or how many days it is overdue; and its purchase order reference when it has one. Under it is everything the customer said about it, and your replies.
- Paid recently: invoices paid in the last 90 days, up to 10.
It shows nothing else of your workspace: no other customer, no supplier, no balance, no ledger, and no name or email of anyone at your business. A reply you write shows under your workspace's name. With nothing owed, the page says "Nothing is owed. Thank you."
3.What your customer can do
Each open invoice has its buttons, and each opens a short form under them that repeats what is owed, in its currency, so it stays in view on a phone with the keyboard up.
- Pay on Arc opens the invoice's pay link, with the amount and the address to copy. Without a pay link, the button is Ask for a pay link: the request comes to you, and once you make the link, the statement shows Pay on Arc.
- I paid, under Tell them you paid: Day you paid, the amount (what is owed, unless they change it), a Payment reference such as a bank reference or a transaction hash, and a note. It is the customer's word, not a payment. The invoice stays open until the money arrives and is applied, the customer reads that you are checking for it, and the agent's reminders about it wait until you close it.
- Promise to pay: Day you will pay, today or up to 90 days ahead, and a note. The customer reads "Reminders about this invoice wait until then."
- Dispute: What is wrong with this invoice? The agent's reminders about the invoice wait until you resolve it.
- Write more. Under anything still open, the customer can write to you again, and you can reply. A newer I paid or promise on the same invoice replaces the older one; a second dispute adds to the first.
4.Answer from the Receivables tab
When a customer says something, Waiting for review at the top of Bills & receivables says how many wait, and From customers, at the top of the Receivables tab, lists each one: what the customer said, about which invoice, what is still owed on it, the messages, and Next. Owners, admins and accountants answer; every other member reads.
| The customer | Shown as | Next | Close it with |
|---|---|---|---|
| Says it paid | Customer says paid | Find the payment: the amount, the day and the reference to look for. Once it arrived on Arc, apply it under Apply payments. | Payment found, or Not received: the customer then reads that you have not received it, and can tell you again. |
| Promises a day | Promise to pay | Wait until that day; after it, review it before any reminder goes. | Close |
| Disputes the invoice | Dispute | Reply, then resolve. | Resolve |
| Asks for a pay link | Asks for a pay link | Make a pay link: Open the invoice and make its link. | Done |
A receivable's own row says it too: "Customer says paid" and the day, "Customer promised by" a day, or "Disputed by the customer". Nothing a customer says marks an invoice paid: only money received on Arc and applied to it does.
Owners and admins who keep Email me when payments need a decision on, and accountants who keep Email me when a customer writes on its statement link on, under Notifications in Settings, also get an email when a customer writes: who wrote, what it asks, its first 140 characters with any link left out, and Open From customers. A long thread sends at most one email an hour for each request. Asking again for a pay link already asked for, with nothing written, sends nothing and adds nothing.
Reminders while a customer answers
If you turned on the agent's reminders for an invoice, what the customer says holds them:
- A dispute holds them until you resolve it.
- A claim of payment holds them until you close it: Payment found, or Not received. If it is still open 7 days after the customer made it, finance gets a task to check the payment, so a claim alone never stops reminders for good.
- A promise holds them through the promised day. If the day passes with money still owed, no reminder goes by itself: finance gets a task to review the broken promise first, and the request's next step reads Review it: the promised day passed. See Chase what customers owe.
Closing a promise, a dispute or a claim lets them go again at once.
Who can open a link
The link is the key: anyone who has it sees the customer's statement, and can send you a message as that customer. A link forwarded to someone else works for them the same way, for that customer's invoices only.
- Expiry. A link stops working on the day you chose. It then reads "This link has expired." with the day, and names no one.
- Stopping one. Stop the link stops it at once for everyone who has it; it then reads as a link that no longer works. Making a new link for the customer stops the old one too.
- Limits. One link sends at most 30 messages a day, and a few a minute. Past that the customer reads "This link has sent all it can for today. Try again tomorrow, or contact the business directly."
- Search engines are asked not to index statement pages, and the link's address is not sent to analytics.
In the ledger
Each step is a signed entry in the ar domain, under the invoice's How the agent decided where it names one: customer_statement_shared and customer_statement_unshared for a link; customer_said_paid, customer_promised_payment, customer_disputed_invoice, customer_asked_pay_link and customer_wrote for what the customer said; customer_request_replied and customer_request_closed for your answers. An entry holds a fingerprint (SHA-256) of the words written, never the words themselves; the words stay with the request, where your members read them. Webhook endpoints receive each as ledger.appended; the changelog lists their fields.
If something goes wrong
| What you see | Why | What to do |
|---|---|---|
| Statement links are for customers. This counterparty is not a client. | The counterparty is a supplier or a contractor. | Choose a client, or add the customer as a client on Counterparties. |
| Customer statements are not set up on this deployment yet. | The database is not ready for statements on this deployment. | Ask whoever runs it to apply the latest migration. |
| The customer reads "This link has expired." | The link's days ran out. | Make a new link and send it. |
| The customer reads that the link no longer works | You stopped it, or made a newer one. | Send the newer one, or make one. |
| No Pay on Arc on an invoice | The invoice has no pay link yet, or your workspace is a sandbox, which has no wallet to be paid into. | Make its pay link on the invoice's card, in a live workspace. |
